Job Title: Administrator (Construction and Engineering)

Salary: £9,549 - £9,985 per annum, actual salary

Annual Leave: 30 days per annum plus bank holidays (pro rata)

Contractual hours: 15 hours per week (2 days)

Basis: Part time, Permanent

Pension: NEST

Location: Middlesbrough College Main Campus, TS2 1AD

 

The Role

We are seeking a highly organised and proactive Administrator to support the Directorate with a wide range of administrative and data‑related tasks. In this role, you will assist Associate Directors with the preparation of college reports, implement data‑checking systems for learner records, and liaise with parents, carers, and external services to arrange learner meetings while maintaining Pro-Solution diary entries and individual learning plans. You will support Attendance Officers by managing attendance queries and communications, carry out confidential work using Word, Excel and Access, and design and maintain departmental databases. The role also includes managing centralised filing systems, coordinating departmental returns in line with College financial, HR and quality procedures, assisting HR with recruitment via Access, and supporting the administration of enrolment planning and processing. Key Responsibilities 

  • Assist the Associate Director’s with preparation of college reports.

  • Implement a data check system relating to learner record documentation to include enrolment, transfer, withdrawal and completions.

  • Liaise with parents, carers and external services to arrange learner meetings. Maintain clerical support on Pro-Solution Diary and maintenance of learner individual learning plan.

  • Support the Attendance Officers with learner attendance, including liaising with parents, carers and learners by answering calls and dealing with queries.

  • Carry out all confidential work using Word, Excel and Access for Directorate Staff as required and to have knowledge of electronic systems and files for documentation and storage.

  • Design and maintain department databases and software programmes.

  • Set up and maintain the centralised and standardised Directorate filing systems, including programme files, confidential learner files.

  • Co-ordinate departments returns in line with the College’s Financial, HR and Quality procedures.

  • Assist the HR department via Access recruitment service.

  • Assist with the administration of enrolment planning and processing

Skills, Knowledge & Expertise

  • Minimum Level 3 Business Administration qualification
  • Grade C or above in Maths and English (or equivalent).
  • Evidence of up-to-date CPD
  • Excellent organisational and communication skills
  • Excellent word processing skills.
  • Highly motivated and able to work on own initiative.
  • A high degree of IT literacy, particularly in the use of Microsoft office applications.
  • Excellent range of administrative skills.
  • Ability to always prioritise work.
  • Good interpersonal skills and the ability to relate to a wide range of people (students and staff).
  • Ability to maintain accurate and confidential records
