Job Title: Administrator - Health & Safety Team
Department: Health, Safety, Environment and Sustainability (HSES)
Reporting to: Head of Health Safety & Environment
Salary: £23,555 - £24,631 per annum (actual salary)
Annual Leave: 30 days per annum plus bank holidays (pro rata)
Contractual hours: 37 hours per week
Basis: Full time, Permanent

The Role
We are looking for a proactive and organised Administrator to support our Health, Safety and Estates functions. You will by provide a friendly and efficient response to enquiries, managing incident and accident reporting through Smartlog/Halo, and ensuring all data is accurate, complete, and monitored effectively. In this role, you will maintain detailed records, produce monthly reports, carry out workplace audit checks via Pro Engage, and support confidential administrative processes using Microsoft and College systems. You will liaise closely with departments across the College, maintain the approved First Aid list, assist with recruitment administration, collate high‑risk student and staff information, and monitor DSE assessments, including arranging eyesight tests, prescription eyewear, and equipment requirements. This is a key role for someone with strong attention to detail, excellent communication skills, and confidence working across multiple systems to ensure the smooth running of our compliance and safety processes.
Key Responsibilities
- Provide a courteous helpful and friendly response to all enquiries.
- Collate all incidents and accidents on “Smartlog/Halo” and produce timely reports when required.
- Review and collate all assigned actions from HSES reports and monitor to ensure completion in accordance with assigned priorities.
- Liaise with all departments to ensure that submitted incident and accident data is accurate and complete.
- Maintain accurate and detailed data for all incidents and accidents and produce monthly reports for departmental reviews.
- Conduct regular and timely monitoring audits of submitted workplace/works experience HSE vetting and Employer Liability Insurance documentation via “Pro Engage” and report deficiencies.
- Carry out confidential work using Microsoft & college software as required and to have knowledge of electronic systems and files for documentation, storage and retrieval.
- Maintain the College’s list of approved First Aid personnel and liaise with the HR/Finance dept to ensure that First Aid payment entitlements are processed on a monthly basis.
- Assist the HR department via Networks recruitment service providing recruitment admin support for the Campus Estates and Building Services Team.
- Collate maintain and update the student/staff high risk file (incident response file) based on information entered on “Pro Solution/Pro Monitor” by the Students Services, ALS and HR departments.
- Liaise with HR/Finance and all other departments to collate and monitor all DSE assessment data, including the provision for eyesight tests and prescription glasses and for the requirements of additional equipment and furniture for DSE users.
Skills, Knowledge & Expertise
- Excellent organisational and communication skills.
- Highly motivated and able to work on own initiative.
- A high degree of IT literacy, particularly in the use of Microsoft office applications.
- Excellent range of administrative skills.
- Willingness to undertake additional training to enhance skills and competencies.
- Ability to always prioritise work.
- Good interpersonal skills and the ability to relate to a wide range of people (students and staff).

Qualifications
- Minimum Level 3 Business Administration qualification (or equivalent), or willing to work towards.
- Grade C or above in Maths and English (or equivalent).
- Evidence of up-to-date CPD.
